How do I add KeyPay work types and locations to my Nightingale shfits?

In order to send work types and location to KeyPay for each shift you will need to firstly find the shifts you would like this information to be attached to or simply create a new shift with this information. This article will cover both these scenarios.

Keypay Work Types and Locations must be added to shifts before they are attended, otherwise they cannot be added to the attendance for that shift.

Scenario: 1 - Adding Work Type and Location to Existing Shift or New Shifts.

This can be done in several ways, you can navigate to the clients dashboard and under [Funding] > [View Support Funding] you will see all the support funding items available with the button roster next to them. Select one of these roster fields.

Here you will be presented with all the shifts for a support funding item.

Select [Edit] on one of these shifts you would like to add the work type/location to. You will then be presented with the following view.

Here you will see the two sections related to KeyPay Work Types and Location where the shift information can be added and saved. This will be used later during the timesheet sync with keypay stage to determine what the work type and location for each timesheet entry should be in KeyPay.

Scenario: 1.1 - The Alternative Method

There are several ways to add roster appointments to clients within Nightingale. For example you may navigate to the roster of the client to add shifts from there as so.

The processes for a recurring shift and a single shift are the same so only one is demostrated below.

Select “New Appointment”

here you will see the same two fields as the last example where you can add a work type and location to a shift which will later be attached to the timesheet that will be sent to KeyPay.

Scenario: 2 - Changing the Location on a Single Shift Within a Reccurring Roster

Simply navigate the client's dashboard in question and select view roster under the roster tab.

Here is an example of a recurring shift:

Select one of these shifts and open it:

Here you will see the Work Type and location that was setup when creating the recurring shift. Changing one of these values and selecting “ok” will change this single shift to have the new information added. This will not affect the other recurring roster shifts. To confirm this has worked you can select the shift again and select open. Once open you should see the new results in the correct fields.
