A new year... we hope it's going well for everyone!
For all monthly Releases, there are a number of time saving and efficiency improvement updates we've made to Nightingale. Some of them are based on feedback from our clients about what would make some functionality better, etc. Remember, general fixes will be updated as appropriate and will not wait to be implemented with the monthly releases.
One of this month's updates is in 'FEATURE FOCUS ... A little bird told me...' Multiple Client Types / Multiple Staff Types . Another client-centric feature, this is also expands your ability to not only gain efficiencies, but it's a very client choice-oriented improvement that could help you to target services.
And... Release Notes are always available from the main Wiki page: Nightingale Wiki - Main Page and the FAQs section is growing.
IMPORTANT NOTE: Release Notes are provided to you in advance of the Release. The release itself is generally uploaded to your Nightingale instance on the Thursday following notification. This release will be uploaded on Tuesday night, 3 March.

Time for a Review!
A new section... let us know what function you'd like to have reviewed for next month!
This month we're reviewing Organisation Settings - Part 1 - Attendance through Clients. Click HERE for the article.
And another review this month... Searching the wiki. There are two ways to access the wiki. One is from within Nightingale and the other is via the wiki website which is reviewed below:
1) Go to the wiki website: https://aviarynightingale.zendesk.com/hc/en-us

2) In the Search bubble, type in whatever prompt you want and hit Enter. HCP was entered in the example below:

Click on the article that makes the most sense to you based on what you're looking for.
Next time: Review of accessing the wiki via the HELP bubble in Nightingale. In the future, this Review section will come as a separate email so that should you choose, it will be easier to forward to your staff who could use the reminder!

General Enhancements and Improvements
Gender Update - Rainbow Tick Compliant
|
Some Nightingale clients are working towards achieving their "Rainbow Tick." The Rainbow Tick is a national accreditation program for organisations that are committed to safe and inclusive practice, and service delivery for Lesbian, Gay, Bisexual, Transgender and Intersex (LGBTI) people. The Rainbow Tick is a quality framework that helps organisations show that they are safe, inclusive and affirming services and employers for the LGBTIQ community. |

Case Note Workflow - Create Unique Follow Ups and Automatic Staff Alerts
IT'S HERE! Highly anticipated by many, you can now follow up a Case Note (whether "generic" or custom) with a Follow Up that is customised to allow efficient and compliant workflows. These workflows can also identify specific staff members who are automatically notified whenever a Case Note Category / Case Note Type combination be chosen when adding a Case Note or Follow Up. This works for all Case Notes - not just custom forms,
An example of this in action is when you have a form for Incidents and after the form is created, a manager needs to review it. The original form will not duplicate when you select "Add a Follow Up." Using Custom Case Note Follow Ups, you can add a workflow -- in this example, a Managerial Review. When creating a case note follow up, users can select 1) not using any follow up type (which causes the resulting follow up to use the same custom fields as the parent case note), 2) using a blank follow up type (which has no custom fields), or 3) using a follow up type they have defined themselves. Find the instructions for the Workflow and setting up automatic staff notifications HERE and Custom Case Notes/Forms instructions HERE.
Additionally, you may want to check out another article: Creating a Case Note Follow Up. This article was updated to include the new custom Follow Ups functionality.
These features must be turned on in Organisation Settings. Go to Staff > Staff Position > choose the correct position for access and then click on Organisation: tick the boxes as shown below (currently unticked for emphasis):

Staff Alerts is also available by ticking "Manage Case Note Staff Alerts." Click SAVE.
App Update
Pinned case notes now means that any client case note you mark as "pinned" will appear in the App at the top of the list of recent case notes that a Support Worker will see.
An effective use of this is to pin a Case Note that contains a Care Plan... particularly if your quality system encourages a support worker to review a Care Plan each time they provide a service to one of your clients. Pinning makes it very easy for the support worker to find the Care Plan, and its position also brings visual attention to it. Efficiencies for support workers as well as supporting the quality of service provided to your clients. You can see that the two at the top are not in time order - this is because they are pinned to the top in the client's Case Note view.

Update to Recurring Appointments
The "Adding a Client Support Roster - Single and Recurring" wiki article now includes the update for how to use the greatly expanded new recurring appointment choices. Find it HERE.

As this graphic shows, you have multiple options for recurring shifts.
Rostering - Travel Distance/Time Between Appointments (Web Application)
When rostering, Nightingale can now help you determine if the Staff Member you are about to roster has a shift before or after the shift you are about to roster. If a shift is found, Nightingale will give you the travel time and distance information so you know how far away your Support Worker will be from the appointment and how far away their next appointment is.

Click on Check Travel Info. In the example below, it shows that the Support Worker has a conflict but also shows their availability before and after the time slot you're trying to book for your client.

Reports & Forms - NDIS Claims Report - Claim Type
Nightingale now supports the NDIS Claim Type being sent with the NDIS Claims Bulk Upload File.

Reports & Forms - NDIS Claims Report - Split By Attendance
When reporting to NDIS you can now split your Claims Report by attendance. This will make it easier and take less time for you to query any rejected items in the future.
Reports & Forms - NDIS Claims Report - Claims History Table
You now see a history of all NDIS Claims Reports that have been run. You can also download finalised Claims Reports directly form the history table.

Reports & Forms - Service Invoice | HACC/CHSP Invoice | HACC Statement | HCP Invoice | Private Invoice - History Table
You now see a history of all invoice Reports that have been run. You can also download finalised ones directly form the history table. An example is below:

Reports & Forms - HCP Statement/Invoice - Hide Zero Cost Items
You are now able to ignore any HCP Services that have a $0 cost showing up on your HCP Statements and Invoices.
Reports & Forms - Service Invoice - NDIS Self/Planned/Agency Managed
You can now generate invoices to send to your NDIS Self/Plan/Agency managed clients.
