Step 1: Set up your Client as a Supported Employee
Select your Client and navigate to the Edit Details page. On the ‘Supported Employee' tab, tick to mark them as a Supported Employee. This enables a whole host of dedicated functionality for this Client. While you’re here, you can choose to fill in the details of their employment, such as their Employment Type, or Work Days.
Step 2: Supported Employee functionality is turned on
-
Client Type: A Client Type of ‘Supported Employee’ is automatically added to the Client. This Client Type is searchable on the Overview page, and can be reported on in many areas of Nightingale, such as the People > Manage Clients report.
-
Supported Employee Competencies: On the Client’s Dashboard, you will see additional options added under the Competencies tab. ‘Competencies’ are the requirements that the Client needs for support staff to have (e.g. PEG feeding), and ‘Supported Employee Competencies’ are the competencies that the SE themselves have (e.g. Forklift Driving).
-
Supported Employee Timesheets: On the Client’s Dashboard, you will also see the ability for SE’s to have their own Timesheets. More on this in a new section of this documentation (coming soon).
-
Shift Codes: A Shift Code for Supported Employee Shifts will be automatically added to your Organisation Settings. This is what we’ll need to use to mark shifts that the SE’s need to be paid for (more on this later).
Step 3: Add Supported Employee funding as normal
See this article for steps on how to add NDIS funding to a client: Basic NDIS Funding Set-Up for Clients
Step 4: Add a Group Ratio Roster
From the Client’s Funding page, add a Group Ratio Roster by navigating to it on the top row:
You will then be prompted to fill in the details of the regular shifts for the Supported Employee. Here you can set a recurrence pattern, or tick to ‘Auto-attend’ the shifts on behalf of the Supported Employee (for the purposes of their SE timesheets) if you wish. ‘Auto-attend’, when marked on certain shifts, can be attended by the system in bulk when running the Client Auto-Attendance function (Organisation Settings > Attendance > Client Auto-Attendance). This function means that staff or SE’s will not need to manually mark their own attendance via the mobile or desktop apps (depending on which they are using).
Where the Shift Code of ‘Supported Employee Shift’ is marked in the drop down, this results in the SE shift being depicted different from any other types of supports, e.g. 1:1. The SE shift (that the Supported Employee is working) is depicted in blue, with [SE] on the title. This differentiates the SE shift from other supports, e.g. the orange Daily Supports shift shown below.
