How do I use shift codes in Nightingale?

Shift Codes are quite useful in Nightingale and are mainly used for configuring shifts to be processed in particular ways with Xero and Keypay. Shift Codes will also display their names in invoices so they can be used to identify particular line items.

From Roster

  1. Click on [Client Dashboard] > [Roster] > [View Roster]

  2. Select an appointment by right clicking on it, then select [Open]

  3. Go down to where it states ‘Shift Code:’ and select your created shift code from the drop down.

  4. Click [Ok]

From Funding

  1. Click on Client Dashboard > [Funding] > [Support Funding]

  2. Find the funding you wish to add shift codes to and select [Roster]

  3. Find the reoccurring appointment and select [Edit]

  4. You will then see the following popup, locate ‘Shift Code:’

  5. Select your shift code from the drop down.

  6. Click [Save]

Deactivating Shift Codes

With the shift code functionality, you sometimes want to deactivate a shift code.

  1. Click on [Organisation Settings] > [Roster] > [Shift Codes]

  2. Click on the shift code you wish to deactivate

  3. In the bottom right corner, click the button marked [Deactivate]

Shift Codes for Fixed Rate Allowances

Shift codes can be used for fixed rate allowances, where you don’t want the shift to count towards Target/Actual Hours. An Inactive Sleepover is the main example of this type of setup.

To setup an “Inactive Sleepover” follow these steps:

  1. Create a shift code for an inactive sleepover and select the below options:

  1. Create a second shift code with no options selected for “Active Sleepover”.

  1. Confirm that the Staff Actual hours recurring job is set to run every 15 minutes. This setting can be found by heading to Organisation Settings → Reporting → Recurring Jobs.

Now the Inactive Sleepover code can be applied to shifts where they shouldn’t be counted towards work hours.

Now after the “Staff Actual Hours” recurring job has run, the shift won’t count towards Actual Hours on the Staff members Calendar Roster.

And on the Staff Payroll, Target Hours and Allocated Hours Reports.
