How do group rostering and ratios work?

There now exists functionality within Nightingale to split a funding line item via a ratio per client. This can be easily done on most places that you would normally roster including the following below.

Option 1: Ratios now added to Rostering “From Funding”

Rostering from the “Add Hours” button when you view Support Funding is a common way that one can roster in Nightingale. This now will present you with a field for a ratio. For these group ratio shifts, we recommend you input the time, funding item if not already selected and finally the ratio.

If the funding item is found to have a differing ratio from what you have selected the forms will display an error message. This will not stop you from being able to save the page but just acts as a warning to let you know they are different. From here simply save the roster and it will split the funding accordingly.

Option 2: Ratios now added to the Calendar

Rostering from the calendar will now also present you with a field for a ratio. For these group ratio shifts, we recommend you input the time, funding item if not already selected and finally the ratio.

Option 3: Ratios now on the Group Roster

Rostering from the group roster pop-up allows you to split funding between a group of clients. Upon clicking the Roster Appointments button a page will load that will display the following (it will load the clients within the group you have chosen).

The page will load the default time set within Nightingale with a start time of 9 and end time of 10. Change the time of the appointment first, then select the funding items, staff and finally the ratio. Doing it in this order will ensure that the units are correct for the ratio chosen. An error message will display if the ratio on the funding item does not match the ratio selected in which case you can change the ratio or leave it as is, because the message will not stop you from saving the roster (you can override it if you wish).

Option 4: The Group Ratio Roster

The group ratio roster page can be found by going to a clients dashboard → Funding → View Support Funding → Add Group Ratio Roster. This page allows you to add multiple funding items and create a roster for each all with different ratio splits.

Starting from the top, you are able to add a re-occurrence for the rosters you create which will create a reoccurring roster for the rostering items you have added in. There is also an option to auto-attend these rosters meaning you will not have to manage attendances for these rosters but will be auto attended via the auto attend function that can be run. Next is the NDIS budget - it should be noted that this will only work if you have set NDIS Budget onto each of the funding line items. Selecting this option will populate the date field so that it matches the NDIS budget.

It is recommended you fill in the form in the following order:

  1. Funding line item

  2. Time

  3. Staff

  4. Ratio

  5. Shift Code

An error message will show if the ratio selected is not the same as present on the funding item. If you are confident you have selected the correct ratio, proceed to save the roster as this message serves as a warning and will not prohibit the saving of the roster
