How do I integrate ClickSend SMS with Nightingale?

Please note that SMS functionality mentioned below will only work if your organisation has a ClickSend account and your Nightingale is set up by our team.  Please contact support if you wish for this to be set up for you.

Method 1: SMS-ing Clients or Staff using “Nightingale Connect” (Individually)

Both the client and staff dashboards have a "Nightingale Connect" button that allows you to send emails and SMS to the client/staff you are viewing.

If you do not see this button on the client dashboard, your staff position will need to be granted "Client Connect" access by your supervisor in Organisation Settings\Staff\Staff Position\Position Access.

If you do not see this button on the staff dashboard, your staff position will need to be granted "Staff Connect" access by your supervisor.

Clicking on this button will show a popup form which can be filled out to send an email or SMS.

For emails, you can choose an email address taken from a client/staff's details or a client's alt contacts. CC recipients can be selected from a list of other staff members. You can also add attachments to the email using the "Add Attachment" button. Click "Send Email" to save and send the email.

If you wish to send an SMS instead, selecting SMS as the communication type will show the following fields:

 The choices of SMS mobile number will be drawn from the client/staff's details and the client's alt contact list. Click "Send SMS" to save and send the SMS.

Note that sending an email or SMS using this method will save a Nightingale message in your sent messages list as a record of who you sent the email/SMS to and what its contents were.

 

Method 2: SMS-ing Clients or Staff from the Calendar/Roster (Individually)

First you must set up your Position Settings to allow yourself (or your staff members) access to send SMS-es from the calendar.

Next, under Organisation Settings > Calendar > Set up your default Client SMS Template and/or your default Staff SMS Template. This is where you can personalise your SMS template using one or more of our prefill tags:

Use the following tags in your message to get data from Nightingale to populate automatically.

[Org-name] - Organisation name - Will populate the Organisation name
[Client-name] - Client name - Will populate the Client’s Name
[Staff-name] - Staff name - Will populate the staff member's Full name

[Staff-firstname] - Staff first name - Will populate the staff member's first name only
[Shift-date] - Shift date - Will populate the date of the shift.
[Shift-start-time] - Shift start time - Will populate the start time of the shift
[Shift-end-time] - Shift end time - Will populate the end time of the shift
[Location] - Shift Location

 

 

 

Now you are ready to send SMS reminders from the calendar/roster, by right clicking to open the menu shown below:

Method 3: SMS-ing Clients Appointment Reminders Automatically (In bulk)

SMS reminders to clients can also be set up to run automatically for all appointments, in bulk. First, set up your client SMS template by navigating to Organisation Settings > Clients > Client Reminder Settings. Note that there is a time when reminders start being sent, and when they stop being sent - this will allow you to control SMS-es being sent within your organisation’s business hours.

Then, under Organisation Settings > Reporting > Recurring Jobs > You can turn on the function to automatically send SMS reminders to all clients by clicking on the [Start] button:

Please note that for the alert to be sent a staff member must be assigned to the upcoming appointment. If the appointment is unassigned, no sms alert will be sent to the client.
