Shift Bidding allows you to send out a shift for your staff to bid on to work.
Please note that Shift Bidding DOES NOT WORK for Group Shifts or Staff Shifts. Please do not utilise it for this purpose as it will fail.
Configuring Shift Bidding
First you need to turn on shift bidding for use in your instance of Nightingale.
Setting yourself to Manage Shift Bidding
- Got to [Organisation Settings] > [Staff] > [Staff Position] > ‘Staff Position’ > [Organisation]

Make sure ‘Manage Appointment Bids’ is turned on, like below
Configure Shift Bidding Method in Organisation Settings
- Navigate to [Organisation Settings] > [Roster] > [Rostering Settings].
- Select which method you would like to use:
- (no shift bidding) - No shift bidding will be enabled in your site.
- First In Wins - The first staff member to bid for a shift will win the job.

Scheduler Selects - As many people can bid for the shift, but the scheduler still has to select (out of a shortlisted pool of workers) who gets assigned the job.

| Filter by History on 'Find Available Staff' | Find Available Staff by default will display staff who have previously worked with the client. |
| Filter by Competencies on 'Find Available Staff' | Find Available Staff by default will display staff who have the correct current competencies for the client. |
| Auto create Staff-Client relationship when a Roster is created. | Staff usually cannot see clients unless they have a relationship in Nightingale. This will automatically add a relationship. |
| Staff members can only be rostered if they have relationships with clients. | If staff members do not have a previously established relationship with the client, they will not be able to be rostered to the shift. |
| Define warning time for Staff Availability Travel Calculation. | Nightingale will calculate between the staff member’s default location or previous shift and the new location for the shift bid. If that travel distance is too much time, a warning will appear. |
| Use organisation address for Staff Availability Travel Calculation. | As stated, will use the organisation address for starting travel calculations. |
Finding available Staff Members for your shift
This is the method by which you send out shift bids.
Selecting a Shift for Shift Bidding
- Click either Left Sidebar > [Staff] > [Rostering] or from Client Dashboard > [Roster] > [View Roster].
- Select a shift you wish to open shift bidding for.

Right click on the shift to open the context menu and select Find Available Staff.

This will bring up the Shift Bidding screen where you can see all staff available for the shift.
- If you would like to Assign the shift directly from here, click the Assign button next to the staff member’s name. Otherwise, get ready to bid!
If you see no staff members, it is likely you have the ‘History’ filter added, Just click on the X in it’s box and it will remove the filter.

Sending a Shift Bid

Use the Select All square, or individually select all staff members that you would like to send the shift bid to.

If you have multiple pages of available staff members, scroll down to the bottom of the page, expand to show All Records, and then use the Select All square (otherwise you will be “Selecting All” only on the first page of results):
- Once your selections are made, click the orange button to [Broadcast for Bidding]

- If “First In Wins” is selected as the method for shift bidding, the first person to bid for the shift is assigned the work.

Scheduler selects staff member for the job

All Shift Bids can be found on the Overview page in the Moderation Panel. Here you can keep track any bids that are being sent through by staff members. In the example below, the first 2 shifts sent out for bidding have received 0 bids by staff, but the third shift has 1 bid by a staff member.

Click to See Bids and from there, choose your staff member for the shift. Click [Save] to assign the shift.
