Pre-requisite: Check your Position Settings
There are two new position settings under Reports & Forms - one for DEX Sessions and the other for DEX SCORE. When turned on they allow the user to create, view and edit SCORE and Session forms. Please ensure these are ticked/turned on for you, otherwise contact your System Administrator to do this for you.
Adding a Case
Cases are still added normally through the Edit DEX details page. If you do not see the option to Add A Case please reach out to your System Administrator who can turn this feature on for you.
To add a case click the add case button and fill in the details required. Program activity and unidentified clients are mandatory fields and the rest are optional. There is also an option to port in a case id which will be used when exporting to DEX. When the case is saved you are able to edit the id by clicking the open button and deactivate it by pressing the deactivate button. Deactivated cases can be viewed on the same page in the Cases (Inactive) tab towards the bottom of the page.
A case is created from the Client Dashboard → Details →Edit DEX details → scroll to the bottom → Add Case
Adding a Session
The DEX Session works in mostly the same way as above, with a few differences. You can select to add a DEX Session by going to Reports & Forms → Government → View, Create and Edit Session Forms → Add Session.
The form will first load just the client field just like the SCORE form. When that is input the case field will load. If the client does not have a case, you will not be able to proceed in adding a Session.
Depending on the program activity of the chosen case, the form will load different fields.
For example: A session for NDIS Appeals will not have a topic but will have the rest of the fields, a NDAP case will have a topic with all topics visible and a NDAP - Decision Support Pilot Case will have a topic field but have only four topics available.
Note: Once a Session is saved you will be unable to change the case and client. If you have input the incorrect details, you will have to deactivate the session and start again. It is important to select the correct case for the client right from the beginning.
Editing or Deactivating a Session
After a DEX Session is saved it can be viewed in the table and is editable via the “Pen” icon and deactivated via the “X” icon. To deactivate a session, go to the View Session page and select the “x” icon on the row the form exists on. This will move the form to the inactive forms viewable from the View Session page from the button that says View Session (Inactive).
Editing a Session form is similar. Go to the View Session page and click the pen icon of the session you wish to edit. This will load the Session form with all fields being editable except for the client and case. If you make a mistake and select the incorrect case for the client, the session will have to be deactivated and a new session created for the client.
Adding SCORE Data
To add a DEX SCORE head to Reports & Forms → Government → DEX Score. From here click the Add Score button and it will load the first section of the form asking for the client name.
When the client name is input, it will load the rest of the form. The case field will be empty if a case has not been setup for the client and the form will not be able to be saved.
The three sections of SCORE are present on the one page but not all of them need to be filled in. Simply pick two sections of the form to fill and press the save button. The save button will take you to the “View SCOREs” page where you can select to edit or deactivate scores if you need to.
DEX Reporting
To generate a DEX report, navigate to Reports & Forms → Government → DEX Portal. The DEX upload will look for cases for that program activity and any sessions attached to that case, and it will also use any imported Client IDs and imported Case IDs to generate the report.
There now exists a section in Nightingale dedicated to DEX forms as opposed to how it was previously constructed using case notes. To turn this feature on, you will need to edit your access settings. This can be achieved by going to Edit your Position (the little pen icon next to your name in the top left corner), → Reports & Forms Tab. Search for the settings called DEX SCORE Forms and DEX Session Forms. You no longer need to customise Case Notes to enter DEX data, e.g. SCORE.
Creating your XML file for your DEX export can be achieved by heading to Reports & Forms > Government > DEX Portal. When this button is clicked, a page will load showing a mandatory field that will have the three program activities loaded and there will also be a date selector.
Select the program activity you wish to create the XML for, and the date ranges you wish to use. This will create a file that will automatically download and be viewable within your browser.
Notes:
From version 2023.3.24 onwards, small change made to the DEX upload so that when it adds the client id it adds NG, in order to it stop possible duplicate client ids.
